Job Title: Scheduling Coordinator 

Location: Palo Alto, CA

Duration: 12 months

Scheduling Responsibilities:

  • Perform administrative tasks in a timely manner with attention to detail and a positive attitude, with a primary focus on high volume calendar management (conduct calendar analysis, make recommendations, execute scheduling) for 2 people (“partners”)
  • Track workflow and answer emails and calendaring requests in a timely manner
  • Input business information into customer tracking databases on a daily and weekly basis

Legal Administrative Support:

  • Document preparation – prepare organized documents and packages for distribution, record keeping, signature, or other needs.
  • Deal support – review deal checklists, organize transaction documents, maintain internal records
  • Project support – work with other members of the legal team on special projects and initiatives

Other Responsibilities Include:

  • Scheduling of meetings across locations and with internal or external partners- Detailed and strategic time management for partners
  • Alignment of partners’ calendars with individual and organization priorities- Organization and execution of meeting agendas for partners while traveling
  • Act as the communication liaison to represent people you support in larger scheduling requests
  • Serve as a resource on internal policies for people you support
  • Task management of ad hoc requests (assistance with projects, resolving urgent calendar issues, helping a peer)
  • Provide input into workload; adjust partner assignments and share work with peers as needed
  • Build efficiency and effectiveness into existing operations; help define new operational strategies and tools

May take on additional administrative tasks as needed, including:

  • Provide support for events 
  • Travel support (researching flights, accommodations, ground transportation, and locations for business meals)
